SquadReg is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights. We will never sell your data to third parties.

1. Who We Are

SquadReg ("we", "us", "our") is a football league management platform accessible at squadreg.co.uk. We provide tools for grassroots football clubs and leagues to manage attendance, fixtures, standings and match statistics.

2. What Data We Collect

We collect only the data necessary to provide our service:

Account data — email address and password (encrypted) when a manager account is created by a league administrator
Team data — team name, manager name, league and team type
Player data — first and last name, squad number and playing position (no date of birth, address or contact details)
Attendance data — present or absent status per player per session
Match data — fixture dates, scores, goals, assists and clean sheets
Awards data — Man of the Match and Best Effort award records
Chat messages — messages sent within the league and fixture chat system

3. How We Use Your Data

We use your data solely to provide the SquadReg service:

To display league standings, fixtures and results
To track player attendance and generate statistics
To enable communication between team managers within your league
To allow league administrators to manage their league

We do not use your data for advertising, marketing profiling, or any purpose beyond providing the service.

4. Who Can See Your Data

Player names and stats — visible publicly on the league standings page
Attendance records — visible only to that team's manager and site administrators. Never shown publicly
Chat messages — visible only to managers within the same league or fixture. Never shown publicly
Email addresses — visible only to site administrators. Never shown publicly
Passwords — encrypted and never visible to anyone, including us

5. Data Storage & Security

All data is stored securely on Supabase infrastructure, which is hosted on AWS in the EU region. Supabase is SOC 2 Type II certified.

We implement Row Level Security (RLS) on all database tables, meaning each user can only access data they are authorised to see. All data is transmitted over HTTPS with TLS encryption.

6. Data Retention

We retain your data for as long as your account is active. If you wish to have your account and all associated data deleted, contact us at SquadRegUK@gmail.com and we will action the request within 30 days.

7. Children's Privacy

SquadReg accounts are created by league administrators and team managers — adults responsible for running football teams. We collect limited player data (name, position, squad number) for the purpose of attendance and statistics tracking.

We do not collect date of birth, contact details or any identifying information beyond a player's name and squad number. We do not knowingly collect personal data directly from children.

If you believe data relating to a child has been inappropriately collected, contact us immediately at SquadRegUK@gmail.com.

8. Cookies

SquadReg uses only essential cookies necessary to maintain your login session. We do not use advertising cookies, tracking cookies or third-party analytics cookies.

9. Your Rights (UK GDPR)

Under UK data protection law you have the right to:

Access — request a copy of the personal data we hold about you
Rectification — request correction of inaccurate data
Erasure — request deletion of your personal data
Restriction — request that we limit how we process your data
Portability — request your data in a machine-readable format
Object — object to our processing of your data

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you believe we have handled your data unlawfully.

We may update this Privacy Policy from time to time. We will notify registered users of any significant changes by updating the date at the top of this page. Continued use of SquadReg after changes constitutes acceptance of the updated policy.
